You fill a register log by entering the Details once and then adding entries in the table. When the register allows it, you can send the log for verification more than once — each round is called a submission — so results recorded weeks apart stay on one log.
Open the register → Add to create a log.
Fill the Details fields.
Add your entries in the table. Submit turns on as soon as every required field of your entries is filled — you can keep adding more before you send.
Click Submit and confirm.
When you are ready for the next round, click + Add Entries, fill the new rows and send again.
Tap the ⓘ beside the status at any time to see where every submission has reached.
Everything you have added since the last time you sent the log. It can be one row or several groups — there is no fixed size.
As soon as every required field of the entries you added is filled. You can add more entries after that and the button stays on.
Tap the ⓘ beside the status. It lists every submission with each level — verified, pending, or sent back — along with the verifier's name and the date and time.
Verification Pending means someone still has to act — a level has not verified yet, or a submission has been sent back to you. Tap the ⓘ for the detail.
Hover it and it tells you why. Either the last submission has not been sent yet, or it has not been verified yet (on a register where the next submission waits for the previous one to be verified), or the log has used all the submissions the register allows.
Yes, if your register allows the next submission to be sent any time. You can start as soon as the previous submission is sent. If your register sends submissions one after another, you wait until the previous one is verified.
Once a submission is sent, its entries are locked so the verifier sees exactly what you sent. They stay locked after verification too.
No. A submission that is waiting for verification is locked for everyone. After it is verified, the System Admin can still edit it, as before.
That submission's entries — always. The Details too, but only if Submission 1 is not yet verified; once Submission 1 is verified, Details are locked for you regardless of what is happening on this or any other submission. Every other submission stays as it is. The reason is shown in a banner at the top of the submission that was sent back, and also in the email you received.
You must make at least one change first — edit a value, add a row or delete a row. The button says "Make at least one change before sending this submission again."
Details lock permanently once Submission 1 is verified — it is a one-way change, so once it happens the Details cannot go back to being editable by you. Before that point (Draft, Verification Pending, or a submission sent back on query), Details stay open no matter what else is happening on the log. If you need a correction after that point, ask your System Admin — they can still edit it.
Only your System Admin can make that change, using their existing edit override. The Details are shared by the whole log, so the new value is what everyone sees. To keep the record honest, every already-verified submission shows a line saying the Details were revised, by whom and when.
No. It keeps the same number.
Yes, as many times as needed.
Yes. Unsent rows can be deleted as usual. Sent rows cannot.
No. Just stop. The log shows as Verified and you can come back later and add more if the register still allows it.
You have view access but not edit access. You will see "To fill this register log, ask your Project Admin for Edit access." You can still read the status and the ⓘ.
By email. You get one email when a submission is verified by all levels, and one when a submission is sent back — with the reason and a button that opens the log.
It appears when you press Submit and asks who should be emailed about this submission. Everyone is already ticked, so you can simply press Send for Verification.
Your register asks all levels at once, so you choose the people for each level in one go. If your register asks levels one after another, you still see one list, for Level 1.
No. The list only contains the verifiers set up on that level. To change who can verify, your System Admin edits the level in Assign Verifiers.
One of the lists is empty. Each level needs at least one person ticked, otherwise that level would never be told to verify. You will see "Select at least one verifier for Level 2."
Yes. Unticking only means they will not get the email. Anyone set up on that level can still open the log from their To Do and verify.
The window opens again but remembers who you picked last time, so usually you just press Send for Verification.
Sent entries are locked; only entries sent back to you open again.
Verified entries can never be edited by you, even while another submission is open.
On a register set to One time, nothing changes — you submit once, as before.
Register sends email only — there is nothing to watch inside the app.
