How to use grouping while adding entries in a register log

Manual grouping while filling a register (Table part): tick consecutive rows -> Group Selected -> Confirm. Shared-value cell holds one value; calculated (Number) cell shows Total/Average/Std Dev. Ungroup keeps first row's value (shared) or leaves source untouched (calculated). Approved cells are locked — System Admin can ungroup without a Redo, or approver Redoes. Fixed grouping comes pre-sized and the size is editable.

Overview

When a field has grouping switched on in the template (see 2.4.6), you can combine several consecutive rows into one cell while filling a register — in the Table part. Two kinds of result:

  • Shared-value — the grouped cell holds one shared value (Number, Text, Multiline, Date, Time, Options, Checkbox or Attachment field).

  • Calculated — on a Number field set to calculate, the grouped cell shows a Total, Average or Standard Deviation.

This article covers Manual grouping — where you (the filler) select the rows to group. With Fixed grouping the groups come pre-sized from the template and you can edit the group size; everything else works the same.

🧭 How to use (while filling a log)

  1. Tick the checkboxes next to the rows you want — they must be consecutive and at least two.

  2. Tap Group Selected.

  3. Confirm:

- Shared value — enter or pick the single shared value for the grouped cell. - Calculated — check the calculated preview (from the source column) and Confirm. (For a calculated group, the source column must have a value in each selected row.)

Ungroup

  • Shared-value cell: tap Ungroup → confirm. The first row keeps the value; the others become empty (checkbox: the first keeps its state; attachment: the first keeps its files).

  • Calculated cell: tap Ungroup → confirm. The cell splits back into empty cells; the source column values are unchanged.

If the cell is locked (approved)

If the log has been approved, the grouped cell is locked (you'll see a lock icon instead of Ungroup):

  • A System Admin can ungroup an approved cell to correct it — without triggering a Redo, so the log keeps its approved status.

  • Or an approver can Redo the log to unlock it.

❓ FAQ

I selected rows but there's no Group button — why? The rows must be adjacent/consecutive and you need at least two. For a calculated (Number) group, the source column must have a value in each selected row.

Why is there a lock icon instead of Ungroup? The log has been approved, so the cell is locked. A System Admin can ungroup it without triggering a Redo (the log keeps its status), or an approver can Redo the log to unlock it.

What happens to my values when I ungroup? Shared-value cell: the first row keeps the value, the rest are cleared. Calculated cell: it clears and the rows become editable; the source values are untouched.

Can I group empty rows? Yes — when there's no value that could be lost, you just get a simple confirmation.

💡 Good to know

  • Grouping is in the Table part; rows to be grouped must be adjacent/consecutive.

  • Shared-value groups keep the value in the first row on ungroup; calculated groups leave the source data untouched.

  • Approved logs lock grouped cells — a System Admin ungroup (no Redo) or an approver Redo unlocks them.
