# 2.4.10 Prepare a Fixed Entries register log

On a Fixed Entries register the format is already drawn by your System Admin, exactly like the printed sheet. You only fill the blanks. The labels and fixed values are already there, and the shape cannot change while you prepare it.

### 📖 Overview

On a **Fixed Entries** register the format is already drawn by your System Admin, exactly like the printed sheet. You only fill the blanks. The labels and fixed values are already there, and the shape cannot change while you prepare it.

### 🧭 How to use

1. Open the register and create a new log. The format is already drawn.

2. Fill the Detail section at the top.

3. Type into the **open (white) cells**. **Grey cells** were filled in by your System Admin and cannot be changed.

4. Where your System Admin has allowed it, select neighbouring cells, click **Group**, and type one value across them.

5. While anything mandatory is still empty, use **Save** to keep your work. The log stays a draft and you can come back to it.

6. Once nothing mandatory is empty, the log **saves itself** and **Seek Verification** becomes available.

### ❓ FAQ

#### 1\. Why can't I type in some cells?

They are grey because your System Admin filled them in when drawing the register: labels, limits or fixed sizes that are the same on every log. Only the white cells are yours to fill.

#### 2\. The log won't let me send for verification.

Something mandatory is still empty: either a **Detail** at the top or a **cell** in the grid. The empty ones are marked. Fill them and **Seek Verification** appears.

#### 3\. Where did the Save button go?

Once every mandatory Detail and cell is filled, the log saves itself, so the button is no longer needed.

#### 4\. Can I add a row while preparing the log?

No. On a Fixed Entries register the shape is set by the register. On a Running Entries register you still add rows as you always have.

#### 5\. Can I group cells while preparing the log?

Yes, **where your System Admin has switched Allow Group on** for that column or row. Select two or more cells that are next to each other, along a row or down a column, click **Group**, and type one value.

#### 6\. Why is the Group button greyed?

Allow Group is off for that column or row. Ask your System Admin to switch it on if you need it.

#### 7\. Where are Total and Average?

A Fixed Entries register has **no Total, Average or Standard Deviation**. You group, then type one value. Splitting a cell and adding a row are not available while preparing the log either.

#### 8\. My System Admin changed the register. Does my log change?

No. Every log keeps the shape it had when it was created. Only new logs use the changed register.

#### 9\. Does the export look like our printed format?

Yes. Both the **PDF** and the **Excel** reproduce the header rows, the groups, the split cells and the fixed values. Where a split cell needs its own column, the Excel file adds it, so the sheet still reads the way it looks on screen.

#### 10\. Why does the button say Seek Verification now?

It is the same action with a clearer name, and it reads the same on every register, both types.

### ⚠️ Good to know

- Grey cells are fixed by the register; white cells are yours.

- The shape of the log never changes while you prepare a log, and never changes afterwards, even if the register is edited.

- Grouping only joins cells. There is no Total, Average or Standard Deviation.

- Rows cannot be added on a Fixed Entries register.
