2.5.10 How to add a checklist to a project?

System Admin or Project Admin adds a checklist to a project from three sources — Organisation Library, digiQC Library, or Create New — each with its own steps. The checklist starts as Draft; configure it, then Go live and assign the Checklist user (Project Admin auto-assigned), RFI user (if applicable) and Maker team.

Overview

In the web app, a System Admin or Project Admin adds a checklist to a project from one of three sources — the Organisation Library, the digiQC Library, or by creating a new one. A newly added checklist starts as Draft; once configured you take it Live and assign the users/teams.

🧭 How to use

Open the Add screen

  1. Go to the Projects tab and open the project.

  2. Open the Checklist tab and click + Add.

  3. Choose the source — Organisation Library, digiQC Library, or Create New.

From the Organisation Library (checklists created at your organisation level)

  1. Select one or more checklists from the drop-down.

  2. Click Add — a confirmation appears.

From the digiQC Library (ready-made checklists from digiQC)

  1. Select one or more checklists from the drop-down.

  2. Click Add — a confirmation appears.

Create a new checklist (build one from scratch)

  1. Enter the checklist name, unit of measurement and reference no.

  2. Click Add.

  3. Open the checklist and add its stages and checkpoints.

Whichever source you use, the checklist is added with status Draft.**

Configure & go live

  1. Complete the checklist's configuration (stages, checkpoints, RFI, approvals, etc.).

  2. Click Go live at the top-right.

  3. On Go live, assign the Checklist user (the Project Admin is auto-assigned), the RFI user (if applicable), and the Maker team.

  4. Click Go live — the checklist is now live for inspections.

❓ FAQ

1. Who can add a checklist to a project?

A System Admin or Project Admin.

2. What are the three sources?

Organisation Library (your organisation's checklists), digiQC Library (ready-made checklists from digiQC), or Create New (from scratch).

3. What is the Organisation Library?

Checklists created at the organisation level, available to fetch into a project. Once fetched, that checklist no longer appears in the fetch list.

4. What is the digiQC Library?

Ready-made checklists provided by digiQC for your organisation — same rule: once fetched into a project, it won't appear in the fetch list again.

5. Why has a checklist disappeared from the list I'm fetching from?

Because it's already been added to the project — a fetched checklist is removed from the fetch list.

6. What do I enter when creating a new checklist?

The checklist name, unit of measurement, and reference number — then add the stages and checkpoints.

7. Who do I assign when going live?

The Checklist user, the RFI user (if applicable), and the Maker team. The Project Admin is auto-assigned as a checklist user.

8. Why is my checklist showing "Draft"?

It stays Draft until you finish configuring it and click Go live.
