Setup grouping in a register template

Grouping (Allow Group) is a per-field setting in the Table part of a Register. Value type per field: shared-value (any field) or calculated (Number only). Mode for the whole table: Manual (filler picks rows) or Fixed (System Admin presets group size, filler can edit) — no mixing. Allow Group toggle stays editable after the template locks.

Overview

Grouping (the Allow Group setting) lets a filler combine several consecutive rows of a field into one cell while filling a register — like a row-span in a spreadsheet. It works in the Table part of the Register, and the System Admin turns it on per field.

Grouping has two things to decide — the value type (per field) and the mode (for the whole table).

Value type — per field

  • Shared-value — the grouped cell holds one shared value. Available on all Table-part fields: Number, Text, Multiline, Date, Time, Options, Checkbox and Attachment.

  • Calculated — on a Number field, the grouped cell shows a calculated result (Total, Average or Standard Deviation) from a Source Column.

  • A Number field can be either shared-value or calculated.

Mode — for the whole table

  • Manual — the filler defines each group while filling, by selecting the rows to combine.

  • Fixed — the System Admin pre-defines the group size at the template level; the filler can still edit the group size while filling.

  • The mode applies to the whole Table — every grouped column uses the same mode. You cannot mix (one column Manual and another Fixed is not possible).

🧭 How to set it up (Table part)

  1. Open the settings for the Table-part field and turn on Allow Group.

  2. Set the value type:

- Number field — choose Shared value or Calculated. For Calculated, pick a Source Column (any other Numeric or Calculation column) and an Operation (Total, Average or Standard Deviation). - Text, Multiline, Date, Time, Options, Checkbox, Attachment — always shared value.

  1. Set the group mode for the table — Manual or Fixed. For Fixed, set the group size.

  2. Save the template.

Which fields can have grouping? All Table-part fields — Number, Text, Multiline, Date, Time, Options, Checkbox and Attachment. A Number field can group as a shared value* or as a calculated result; the others group as a *shared value.

What's the difference between Manual and Fixed grouping? Manual = the filler picks the rows to group while filling. Fixed = the System Admin presets the group size at the template; the filler can still edit the size. The mode is set for the whole table — you can't mix Manual and Fixed across columns.

Is grouping in the Detail part too? No — grouping works in the Table part (the rows) of the register.

Who sets up grouping? The System Admin — the per-field Allow Group setting (and its value type) plus the table's Manual/Fixed mode.

Can I turn Allow Group on or off after the template is locked? Yes — the Allow Group toggle stays editable even after the template locks (once logs exist). Turning it off leaves existing grouped cells intact; new logs won't show the group checkboxes.
