When you select multiple checklists in a project, a toolbar lets you act on them all at once โ Assign or Remove users/teams, Configure the stage settings, and Manage (Go Live or Archive) โ instead of setting up each checklist individually.
Open the project's Checklist tab and select multiple checklists.
Use the toolbar that appears โ Assign ยท Remove ยท Configure ยท Manage.
Assign (Assign menu) โ add in bulk:
Assign Checklist Users โ set the users who fill and submit the checklist for each stage.
Assign RFI Users โ set the users who raise the RFI to request inspection.
Assign Maker Team โ set the team responsible for the physical work on site.
Assign Approver โ set the users who approve a checklist stage after inspection.
Remove (Remove menu) โ remove in bulk:
Remove Checklist Users โ remove the assigned checklist users.
Remove RFI Users โ remove the assigned RFI users.
Remove Maker Team โ remove the assigned maker team.
Remove Approver โ remove the assigned approvers.
RFI โ require a request to start inspection.
Drawing Required โ require a drawing attachment for each stage.
Witness Required โ require witness sign-off for each stage.
Allow Skip โ allow stages to be skipped during inspection.
Require Validate โ require validation before proceeding to the next stage.
Only the settings you explicitly set to On or Off are applied; unselected settings remain unchanged. Click Apply.
Manage โ choose:
Go Live โ take the selected checklists live.
Archive โ archive the selected checklists.
On Go Live, assign the roles for the selected checklists:
Checklist Inspector (mandatory) โ the user who fills and submits the checklist for each stage.
RFI Raiser (mandatory if an RFI stage is on for any of the selected checklists) โ the user who raises an RFI to request inspection.
Maker Team (mandatory) โ the team responsible for completing the physical work on site.
Approver (optional) โ the user who gives checklist stage approval after inspection.
Then click Go Live.
In the project's Checklist tab, select multiple checklists โ the Assign / Remove / Configure / Manage toolbar appears.
Checklist Users (fill & submit), RFI Users (raise the RFI), Maker Team (site work), and Approver (stage approval).
No โ only the settings you explicitly set to On or Off are applied. Unselected settings remain unchanged.
Go Live (take the selected checklists live) and Archive (archive them).
Selecting multiple checklists brings up the bulk toolbar โ Assign / Remove / Configure / Manage.
Configure applies only the toggles you explicitly set; the rest are unchanged.
Manage โ Go Live or Archive the selected checklists.
On Go Live: Checklist Inspector and Maker Team are mandatory, RFI Raiser is mandatory if any selected checklist uses RFI, and Approver is optional.
